The best way to systematically solve problems is to use a simple 5 step process:-
1. Identify the problem
This is essential; you must ensure that you are solving the correct problem. We identify the correct problem by asking the right questions and/or observing the issue. The answer is not as simple as supplying the client with a list of recommended products. Does the customer define a specific problem or is it an intuitive sense that they have?
2. Analyse the problem
Who, what, where, when and why is the problem occurring? Sometimes you may need to stand back and observe to find the root cause of the issue.
3. Identify the decision criteria
How will we and the client make decisions at the point of implementation? Can independent standards be utilised in this decision?
4. Develop multiple solutions
We will never stop at the first solution as this may help identify other shortcomings within the process. There may be a better/easier solution within the next step.
5. Choose the optimal solution
Utilising the 3rd step in this problem solving process we will be able to mutually decide on the most suitable solution for the problem.
When we solve a problem systematically, time is saved, better solutions are formulated and the overall aim of presenting the client with what they need is attained.
